At The Walker Arms, we want every booking, celebration and event to run as smoothly as possible. This Booking & Refunds Policy explains how our booking deposits work and the terms that apply when reserving tables, spaces or the venue for private events and special occasions.

1. Bookings & Reservations

Bookings may be made by telephone, email, in person or through any booking system provided by The Walker Arms.

A booking is only considered confirmed once any required deposit has been paid and the booking has been accepted by The Walker Arms.

For private functions and events, we may require additional information including the type of event, date, expected number of guests, catering requirements and any other relevant arrangements before confirming the booking.

2. Booking Deposits

A deposit may be required to secure a booking, particularly for private functions, large groups, special occasions and events.

All deposits are non-refundable.

Deposits are taken specifically to secure the agreed date, time and space for your booking. Once a booking has been secured, the venue may decline other bookings for that date and make arrangements based on the information provided.

By paying a deposit, you acknowledge and accept that the deposit is non-refundable, subject to any rights you may have under applicable consumer law.

3. Changing Your Booking Date

Although deposits are non-refundable, The Walker Arms may allow a deposit to be transferred to an alternative booking date at our discretion.

Where a date change is agreed:

  • The alternative date must be within 3 months of the original booking date.
  • The new date is subject to availability.
  • The transfer must be agreed with The Walker Arms before the original booking date where reasonably possible.
  • A deposit can only be transferred once unless otherwise agreed by The Walker Arms.
  • Changing the date does not create a right to a refund.
  • Any difference in the cost of the new booking may be payable.
  • If a suitable alternative date cannot be agreed within the three-month period, the original deposit will be forfeited.

4. Deposits Cannot Be Used Against Food or Drink

Deposits are paid to secure the booking and cannot be exchanged, refunded or converted into credit for food, drinks or other purchases at The Walker Arms.

For example, a deposit paid to secure a birthday party cannot subsequently be used towards food or drinks if the event is cancelled.

The deposit is separate from any food, drink or catering payments associated with the event.

5. Cancellation by the Customer

If you cancel your booking, your deposit will not be refunded.

Where possible, we may offer the opportunity to transfer your booking to another available date within three months of the original booking date, subject to the terms above.

Failure to attend a booking without prior notice will be treated as a cancellation and the deposit will be forfeited.

6. Late Changes & Reductions in Numbers

Customers should notify The Walker Arms as soon as possible if there are any changes to their booking.

For private events, significant reductions in guest numbers or changes to agreed arrangements may affect the availability, layout, catering or cost of the booking.

Any additional costs resulting from changes to an agreed booking may be payable by the customer.

7. Event Payments

Where an event involves additional payments for food, drinks, catering, entertainment, room hire or other services, these will be discussed and agreed with the customer in advance where applicable.

Any outstanding balance must be paid in accordance with the payment arrangements agreed with The Walker Arms.

A deposit does not automatically cover any additional costs incurred during an event.

8. Cancellation or Changes by The Walker Arms

We reserve the right to cancel or alter a booking in circumstances outside our reasonable control, including emergencies, unforeseen circumstances, legal requirements, premises issues or other circumstances that make it necessary to do so.

Where The Walker Arms has to cancel a confirmed booking, we will discuss the available options with the customer. Where appropriate, this may include transferring the booking to an alternative date or refunding payments made for services that cannot be provided.

This does not affect any statutory rights you may have.

9. Events Outside Our Control

The Walker Arms cannot be held responsible for circumstances beyond our reasonable control that prevent or significantly affect an event. This may include severe weather, utility failures, emergencies, government restrictions, industrial action or other unforeseen circumstances.

We will make reasonable efforts to work with customers to find a suitable alternative arrangement where possible.

10. Customer Responsibility

The person making the booking is responsible for providing accurate information and ensuring that all members of their party are aware of any relevant booking arrangements and venue requirements.

For private events, the person making the booking may also be responsible for the conduct of their guests and for any damage caused to the venue, fixtures, fittings or equipment by members of their party.

11. Acceptance of These Terms

Payment of a booking deposit confirms that you have read, understood and accepted these Booking & Refunds Policy terms.

We recommend that customers retain their booking confirmation and any correspondence relating to their event.
